FAQ 11: How does its Document Archiving functionality work?
Very Simple. If your company needs to send a document to a customer your employee uploads it to your system. The system then generates an email invitation to your customer asking them to retrieve it from your DocuComm web site. Your customer clicks on the link in their invitation email to go to a page that has the file ready for download. Every time someone uploads, or downloads, a file to or from the system, the system saves a copy of the file on its server. Furthermore, the system documents the identity of the person that uploaded, or downloaded, the file as well as the date and time that the file was uploaded, or downloaded and the IP number of the person moving the file as well as a history of how many times each file was downloaded. All of this documentation leaves you with a central repository we refer to as the 'Document Download Center (DDC).' The DDC maintains a complete history of each file in a project and makes each available for download. |
